TrackOver is operated by TrackOver LLC (New Jersey). This policy explains what information we collect when you use TrackOver, how we use it, and the choices you have.
Information We Collect
- Account information:your name, email, company/organization name, and role.
- Jobsite photos:photos you upload, along with their embedded or attached metadata such as GPS location and timestamp.
- Location data:your device location when you create or locate a job or clock in/out, where you have granted that permission.
- Job and time records:job details, time entries, messages, and other operational content you enter.
- Usage information:basic technical and usage data needed to operate, secure, and improve the service.
How We Use Information
We use your information to provide and operate TrackOver: to authenticate you, organize your jobs and photos, record crew time and locations, deliver notifications, process payments, provide support, and keep the service secure and reliable. We also use aggregated, de-identified data (never identifiable to you, your company, or your customers) to improve the platform and to report industry benchmarks.
Who We Share It With
Your operational data is shared within your own organization: owners, managers, and crew you invite can see the data appropriate to their role. We also share information with service providers that help us run TrackOver:
- Cloud hosting and storage:secure database hosting and file/photo storage.
- Payment processing:handling subscription and customer payments.
- Notification delivery:sending mobile push notifications.
- Messaging delivery:sending text messages, when a business enables texting.
- Advertising:Google Ads and Meta (Facebook and Instagram), to measure whether our ads lead to setup-call requests and signups on our website and to show our ads to past visitors, only after you accept the cookie notice. See our Cookie Policy.
We do not sell your personal information. We may disclose information if required by law.
Shared Galleries & Links
TrackOver lets a business share photo galleries, estimates, and invoices with its customers through a link, so the customer can view them without creating an account. To make that possible, those items are stored so that anyone holding the unique link can open them. The links are long, randomly generated, and are not listed or indexed publicly, but a shared link should be treated as viewable by anyone who receives it. A business is responsible for the content it captures and shares and should avoid including sensitive information in anything it shares by link. Content that is not shared by link remains restricted to the business’s own organization.
Text Messaging
Businesses on TrackOver can send service-related text messages (appointment reminders, job status updates, and links to estimates and invoices) to customers who provided their phone number and consented, for example by checking the consent box on a booking form. Message frequency varies by project. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared or sold; they are used only to deliver the messages described above on behalf of the business you contacted.
Data Retention
We retain your organization’s data for as long as your account is active and as needed to provide the service. Your organization’s data belongs to you. The account owner can download all of it at any time from Settings, Export your data: spreadsheets of customers, jobs, estimates, invoices, payments, time entries, equipment and leads, plus links to photos and documents.
When an organization cancels its TrackOver subscription or closes its account:
- We email the account owner a link to download all of the organization’s data. The link works for 30 days.
- We keep the data for 90 days after cancellation, so you can come back and pick up where you left off. Starting a plan again within those 90 days cancels the deletion.
- 7 days before the data is deleted, we email the owner a reminder with a fresh download link.
- After the 90 days, we delete the organization’s data, including its photos and documents. Deleted data can’t be recovered.
Organizations on our free-for-life plan keep their data unless the owner closes the account. We may keep limited records longer where the law requires it, such as payment and tax records. You can close your account and request deletion at any time; the steps are on the account deletion page.
Security
We use reasonable administrative and technical safeguards to protect your information, including encrypted connections and access controls scoped to each organization. No system is perfectly secure, so we cannot guarantee absolute security.
Your Rights
You may access, correct, or request deletion of your organization’s data through your organization’s owner, who administers the account. If you need help, contact us through the Support section in the app.
Children
TrackOver is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children under 18.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Continued use of TrackOver after changes means you accept the updated policy.
